E2W is a small business specializing in acupuncture and holistic healthcare. As a dedicated CEO and provider, we are seeking a proactive and highly organized Personal Assistant to support our CEO in managing daily business operations and personal tasks.
Job Description:
Role Overview:
The Personal Assistant will work closely with the CEO/Acupuncturist to provide administrative and personal support. This role requires exceptional organizational skills, discretion, and the ability to manage a wide range of tasks effectively and efficiently.
Key Responsibilities:
1. Administrative Support:
- Manage and organize the staff & CEO’s schedules, appointments, and meetings.
- Prepare and edit documents, reports, and presentations as needed.
- Follow up with staff on tasking and progress, assist with finding solutions when needed and report to CEO.
- Handle email correspondence, filter and prioritize messages, and draft responses on behalf of the CEO.
- Maintain and update contact lists, business files, and records.
- Handle incoming calls and inquiries, redirecting them as necessary.
- Help with patient scheduling and coordination of appointments.
- Assist in maintaining a clean and organized office environment.
2. Personal Support:
- Organize personal appointments and manage the CEO's personal calendar.
- Ensure CEO is on track with daily scheduled meetings and appointments
- Make phone calls relating to CEO or Business level related calls
- Assist with minimal personal tasks and errands.
- Handle personal travel arrangements and itineraries when required.
3. Business Support:
- Assist in marketing and social media efforts for the business as needed.
- Assist in managing day-to-day business operations, including inventory management and procurement.
- Support the CEO in managing business finances, including bill payments and expense tracking.
- Maintain client records and ensure patient confidentiality.
Qualifications:
- A proactive and adaptable approach to problem-solving.
- Exceptional organizational and multitasking skills.
- Strong written and verbal communication abilities.
- Proficiency in MS Office and scheduling software.
- Proven experience as a Personal Assistant or in a similar role.
- Discretion and ability to handle sensitive and confidential information.
- Knowledge of acupuncture or holistic healthcare is a plus, but not required.
